Phalandwa (Pty) Ltd ("Phalandwa", "we", "us" or "our") respects your privacy and is committed to protecting your personal information. This policy explains how we collect, use, share and safeguard personal information in accordance with the Protection of Personal Information Act, 4 of 2013 ("POPIA"), the Electronic Communications and Transactions Act, 25 of 2002 ("ECTA") and other applicable South African laws.

2. Information we collect
- Identification and contact details — name, job title, employer, email address, telephone number and postal address you provide via our contact forms or correspondence.
- Engagement information — details of services discussed, proposals, contracts and communications between us.
- Technical information — IP address, browser type, device information, referring URLs, pages viewed and timestamps collected through cookies and similar technologies.
- Marketing preferences — your consent and opt-in/opt-out choices for receiving communications from us.
3. How we use your information
We process personal information for the following purposes:

- To negotiate, conclude and perform our contracts with clients and suppliers.

5. Sharing your information
We do not sell personal information. We share information only with trusted operators acting on our written instructions — including hosting, email, analytics, customer relationship management and professional services providers — and with regulators or law-enforcement bodies where we are legally required to do so. All operators are bound by confidentiality and security obligations consistent with POPIA.
6. Cross-border transfers
Some of our service providers may process personal information outside South Africa. Where this happens we ensure that the transfer complies with section 72 of POPIA, including by relying on adequate laws in the recipient country, binding contractual safeguards or your consent.
7. Retention
We retain personal information only for as long as is necessary to fulfil the purposes for which it was collected, to comply with our legal and contractual obligations, and to resolve disputes. When information is no longer required, we securely delete or de-identify it.
8. Security safeguards
As a cybersecurity practice we take information security seriously. We maintain appropriate, reasonable technical and organisational measures — including access controls, encryption in transit, logging, monitoring and regular reviews — to protect personal information against loss, unauthorised access, interference, modification or disclosure, as required by section 19 of POPIA.
9. Your rights
Subject to POPIA, you have the right to:
- Be notified that personal information about you is being collected.
- Request access to the personal information we hold about you.
- Request correction or deletion of inaccurate, irrelevant or outdated information.
- Object to the processing of your personal information on reasonable grounds.
- Withdraw any consent you have previously given.
- Lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.
